1 Paraphrase the chapter's answer to "What is technical communication?"
Technical communication is a process in which people exchange information and help them in interacting with others via technology and having complex problems well solved. It serves to help in various settings, as people may have the urge to complete a certain task, make proper decisions or answer questions as well. In communication, we are not only the producers but also consumers. Technical Communication is categorized into five typical kinds; Instructions for assembling, User manual for guidance when operating something, reporting well analyzed questions, Memo to respond to the progress of ongoing projects, and Procedures to show compliance with the government regulations. Technical communication has three main featured components, that includes; being reader-centered, accessible and efficient.
2)What are the four main features of technical communication? Say which you think is most important and why?
Four main features of technical communication include; the communication being delivered both in digital and paper versions, reader-centered, often produced by teams and is accessible and efficient. The most important feature is the delivery in both paper and digital forms, since the copy is made available in diverse ways hence more people can access them in a way that suits them best.
3)List the three purposes of technical communication and give your own example of each.
Technical communication purposes in three diverse ways; enabling people to follow a certain task, for instance, a manager in a company may instruct employees to complete their work fully before the day ends, secondly, anticipating and answering of questions, for instance, one may have a quick review of questions to anticipate and challenge the readers mind in his/her understanding of the text at hand, lastly, Influencing people’s thinking , by persuading their perception on how they understand the writers information.
4)Explain the four parts of Figure 1.3 on p. 11 to "How an Effective Document is Produced." Say which one would be most difficult for you and why.
Production of effective document is in four parts; Information delivery which includes delivering information that readers in diverse circumstances can have their needs well catered for, Secondly, we have Persuasive reasoning-it should be included so as to have no disagreement by readers about what the information means and what action should be taken against it. Thirdly, Ethical presentation, should have the issues weighed because readers may be annoyed by the unethical communication as it lacks credibility. Lastly, we have good teamwork, for effective outcome in every endeavor.
The most difficult part would be persuasive reasoning, since one cannot make every readers mind reason at one point. Each reader has their own perception of understanding and as a result that would be a major hinder factor.
Write the professional email assignment (5 points) in two parts.
* Describe a specific work-related scenario that you may encounter in your future profession (or past or present profession if that is more helpful). Write at least one paragraph (3-8 sentences) describing the background/context of the situation you are addressing; include place of work, your position, position of the person you're writing to, and what happened to make the email necessary.
My desire is to teach the hearing world about the Deaf culture and to make the Deaf and hearing worlds become closer so we can get more opportunities for our generations without any issue. Week 2a Chapter 2 Meeting the Needs of Specific Audiences
1 Discuss the difference between primary and secondary audiences. Give an example different from the one given in the chapter Primary audience have most of their documents being channeled to readers of immediate response while the secondary audience are considered to be outside the circle and need the information directly.
2) Explain what it means to specify primary and secondary purposes of written communication. Also discuss the several questions we should ask about intended use of the document. Primary sources of information help the audience in the as semblance and usage of products, so that there is no misappropriates in their usage. Secondary sources, help in gathering of information to the audience.
2 Paraphrase the information in Figure 2.2 about the technical level of your audience. Give your own example. There exists different level of technicality; the non-technical, semitechnical and highly technical. Regarding the level of technicality, layer persons are set to use non-technical technicality, informed persons are to use the semi-person’s technicality and experts to use the highly technical level. Each level is required by readers for specific information to be acquired. For instance, the highly technical readers need facts and figures the semitechnical; the reader just needs explained facts and figures, whereas the nontechnical need their readers to have explanation in simple terms on the facts and figures.
4) Referring to Figure 2.7's Audience and Use Profile, discuss ways to identify your audience's cultural background and personal preferences (format/medium, tone, due date/timing, and budget). Give an example and say why "Probable reaction" is perhaps the most important item in this profile. The audience cultural background is by referring the readers countrywide for assistance by designating advisors. The personal preference would be efficient on its relation to the document. For students, an informal tone would be better to associate with each other, the due date is to be fixed in accordance so that it is not so early neither is it too late. The appropriate time is before the students arrive in the next fall. Probable reaction, aids in giving an ideology turnaround of students who have acknowledged failure, and become offended.
5) Give your own work or personal example of a misreading/misunderstanding due to stereotyping or not correctly reading an audience's cultural background.
The reader may start developing prejudice basing on his own cultural background, as compared to that of the writer. Most readers write on the basis of their own background, and through its understanding it is easy for us to put ourselves into the writer’s shoes as we read his information.
Week 2b Chapter 15 Email and Instant Messaging
1 Considering audiences and purposes of email, discuss some of the differences between personal and "professional" email. Relate a story or an experience you've had with "inappropriate" emails. Personal email has different epic tone as compared to professional email in which one has to be able to convey the message in an official tone and format, putting into regard the grammar and sentence buildup. Personal emails one can use abbreviations as compared to professional emails, where abbreviations are not appropriate.
2) Read the email in Figure 15.2 and give your favorite example of why Frank should never have hit "send. “He uses abbreviations such as IMHO putting into consideration that the email is channeled to an official party, secondly, the closing is inappropriate since there is misplacement of punctuation marks. Moreover, the use of capital letters shows that Frank shouted verbally to the supervisor which is a misconduct.
3) What does this chapter say about visuals including "fancy fonts," color, text-type abbreviations, and emoticons? Relate any story or an experience that may illustrate this point. The use of smileys and emoticons are specifically directed to people whom we know best. To international readers, such symbols should be avoided for instance LOL, HAND (have a nice day), and BTW (by the way).
4) Paraphrase the chapter's advice about subject lines. Give an example of confusion you've felt from inappropriate subject lines. The subject in should be clear, instead of data request one should be specific; the line helps out in making decisions as to whether read the message immediately, and to locate and file the message later.
