In Toyota communication is what we believe to be one of the greatest resolutions that the company can offer to its clients. We always approach the idea of the communication through strategizing and ensuring that our policy is suitable for our operation. Our communication policy which we are looking forwards to invent in order to suit the entire society is called the external communication policy. They need to access information the company have for them and on a safer way. All the information from the company must reach the destination that is the client.
Being a worldwide company, the company has established several branches which are located in diverse areas in the entire world. To be effective in its operation its communication policy needs t6o be effective and creative enough to accommodate its demands. The company gets to enjoy customers from the diverse region in the entire world, and therefore it gives the company a challenge to meet the communication needs of both the company and their large size customers CITATION Vla10 \l 1033 (Vlasic, 2010). It is therefore important to always consider that the objective of development of the company is associated with its ability to communicate within the company and to the customers of the organization.
It is important to note that the comprehensiveness of the policy is that it must be impressive to all diversity from the company. The society at large perceives messages differently, and therefore the company faces a great challenge to meet all the demands of the client and be relevant to the failure to which the company can lose some customers. The efficiency of the plan or the policy for communication is approved if it is within the capability to develop and drive the company toward its vision and mission.
In this case, the communication policy that the Toyota motor company has put in place, External Communications, seeks to let the attached customers and employees to the company relate with the organization effectively Policy. The policy, therefore, work for the benefit of the organization and ensures that the company has a smooth flow of information. The communication will seek to ensure that all of the clients interested in the company receive and can prove to be supplied with the information from the organization.
We are living in a modern world whereby the modern form of communication appear to be more legit and meet the demands of many individuals and for this case many customers. Communication in the Toyota Company is more important and as stipulated by the External Communication Policy several media measures to choose the best media to transfer its information and share it. Through the email, the company has been able to reach diverse customers in the entire world, and therefore the communication is well availed.
To communicate effectively with the use of the email, the policy will enable most of the clients leave their email addresses when they contact the company. Through a central server, the email address is acquired and connected to the company and therefore clients can get updates whenever it is required, or the company is informing the entire community about the service change or improvement. To enhance safety, the mail gives the client an opportunity to justify that the message is not a scam and therefore through this service the client is kept safe from scam related threats on their funds.
Not everyone is capable of accessing email messages especial individuals who are from more remote areas are yet to use email services. It is therefore important to have a regular newsletter addressing the various issues the company would like to communicate to its customers. Through this newsletter, the customers get informed pertaining the company and any news that they have to know. Moreover, the mobile services have developed to larger capacity, and therefore the social media can create platforms where the whole community attached to the company. There is also a platform which is being built in the internet using the mobile number platform. There are cases of the scam message and unrealistic information that the customers of the company claim to get, and therefore the company will put some measures to ensure safety for the clients. One of the measures is ensuring that the clients are aware of the types of communication the company gives and identify the signature or the distinctive factor of the messages that the company give. It will help the customers identify the scam message which they don’t have to rely on. Such measures will ensure a certain level of efficiency of the information that the company offers to the client, and it will reduce cases of fraud with the company.
Communication approvals
For the communication policy to be used by the company, we need to have approvals from the regulatory agent and that is the government. In this case it will be easy for us to use the strategy as we will have met the demands of the communication as stipulated by the government. Some of the approvals that we shall have to undergo include;
Standards approval
We must adhere to standards laws put in place by the government and must be met before the company gets to use the new communication policy. For instance, for the company to use the mail service as media for communication, there should be standards stipulated and also there should be perfect measures put in place to prevent the consumer from misguided information.
Safety approval
Both the company and the customers suffer when fraud befalls any. This approval will seek to identify what we have put in place to ensure safety and therefore the government as the supervisor can get to learn on the measures put in place. How is it safe for the users in the entire world coverage?
