Evaluation of Project Management Office (PMO) in an Organization Institution: Name: Date of Submission: Introduction Project management office (PMO) is defined as a process which departments or group of within an agency or a business organization whose primary role is to uphold and maintain the standards of the project management within the specified organization. The PMO helps in standardizing and introducing the economies of repetition during project execution period (Aubry, 2015). The method becomes more efficient when it reflects the culture, strategy, and risks being encountered in an organization during its operation. The PMO primary roles are: 1. To reduce failure of projects. 2. Ensuring delivery of projects within estimated budget. 3. Improving productivity of the team. 4. To Deliver projects before the scheduled deadline. 5. Increases the cost savings. Importance of evaluating (PMO) The project management office is essential in any organization which is dealing with many active projects within the same period. Usually, it is needed to ensure that projects together with their execution are managed within the same guidelines that the organization aspires to keep. Also, it’s more important to make an evaluate of a project management office repeatedly. This is because it assists an enterprise to maintain the standards of any project during its execution (Aubry, 2015). It also assists in keeping the management together with the employees as at any levels in the organization to work their best abilities diligently hence making it easier for an organization to achieve its set goal of the project. Four steps incorporated in setting up (PMO) within organization Project Planning – this is the initial stage and entails the whole aspect and scope of a project, which usually includes the size and timeframe of a project and its resources. Planning helps the organization to estimate the cost of the project, possible limitations, and solutions to the setbacks that the organization is likely to face in the course of implementing the project. Project scheduling - This is a critical step and involves creating a detailed timeframe on each procedure which will be carried out during the whole period of the project, this is normally done with the assistance of MS Project (Encyclopedia of Management, 2012). This stage helps managers and employee in time management and ensures the project is completed within the expected timeframe thus prevents time wastage in the course of project execution. Risk analysis –Equally this is a vital process that involves evaluating of all possible known risks that are associated with the given project, evaluating if there are possibilities of occurrence are high, small or medium. It should be incorporated within the spreadsheet and is closely monitored to reduce the chances of failure of a project (Pemsel & Wiewiora, 2013). Evaluating the risk helps the management to adopt another method of control in case they realize that the project will not go through or may bring a lot of setbacks and result in unnecessary expenses that can be avoided. Project Tracking – this is the final stage of evaluating a (PMO), and it entails monitoring the procedure that can be incorporated into the status of daily or weekly procedures of the activities of the management and the leading projects within a schedule plan. Besides, tracking the project helps in sticking to the work plan and ensures that the initial strategy is maintained to the end of the whole project and gives no room to errors and mismanagement. Primary forms of PMO which can be incorporated in an organization Supportive PMO-This is a form of PMO which is used in assisting staff members and project managers. It is used to deliver the planned projects in a more comprehensive and successfully manner; it's done by providing knowledge, educative resources and free training that are needed to enables the business or a company to solve most of its problems at a faster rate before it brings harm to the entire project. This supportive method is mostly used in cases when the organization is relatively new, it has not used for an extended period, but it’s still the best place for the team to start executing its project ("Project management office – typology and benefits," 2014). Another area that is applied is in controlling PMO from being irrelevant according to set objectives of the company. Controlling PMO-This form of the PMO is also used in a more of the monitoring strategy that is required to take control of any project of the company that is initiating this PMO. It is usually used in providing the recommended standard that is needed in detailing process project reviews, audits and attain the risks that could be a significant threat to the project progress (Spalek, 2013). This type of PMO is normally is used in the following areas to solve the following challenges in an organization or a company, mainly when a supportive service is not sufficient in the organization and a highly heightened approach is required. Also, it is applied when the project requires being handled by individual basis so as to serve as the most effective practice that can be used to complete the project more successfully. Directive PMO-This is a form of PMO that is commonly used in taking over a whole of the project and is usually more of the commanding approach which makes it more efficient in running of an organizational project. A major leader in any directive approach of the PMO directive together with the project manager’s report which has project related technical issues (Pemsel & Wiewiora, 2013). This method is usually used in the following places, where it can be considered as the most ever advantageous in the three of its direct results of highly detailed outcomes and high risk within the project. It’s also used in places that require highly skilled personnel with a wide experience in management field. It is recommended where consistent of the result is needed across the entire project management period. Factors that determines the most efficient form of PMO used in an organization. * The main history of a given company and the kind of approach which can bring the highest value in the company. * The size of the organization is and type of the company’s plans and goals. Difference between the PMO and a PM Sometimes, a project management office (PMO) is confused with a project manager PM. However, this is exactly where the PMO stems from; there are several differences. The main distinction between the function of the PMO and a project manager are as follows: A PM will do much in focusing on the specific task of the project, while a PMO focuses on an overall scope of a project and then continuous to execute the changes to improve the company management (Spalek, 2013). A project manager controls a specific project that can use resources that are usually assigned to employees of a particular organization, but the PMO is assigned the various duties in the whole company so as to optimizes the major resources of the whole organization or the given company. Merits of evaluating a project management office In evaluation process, the project management office main advantage is to ensure activities runs smoothly in an organization. Some of the ways that project management evaluation can be useful are when an organization knows that the program applied is still effective. Also when its wants and size of an organization is drastically changing, the project management office may also require an overhaul. It’s also experienced with a change in a project size and change in the current management and when there is the evaluation of the project management office may be needed within a short period (Spalek, 2013). The project management evaluation is also a very vital tool for the stakeholders to hold on the management to be accountable for their operations.
