What to be considered when negotiating HRIS software supplier
The welfare of the employees in an organization is very critical. An efficient and effective organization should have all the relevant information touching on its employees well documented. As Bagd (2012) argues, such information is useful when it comes to salary increment, promotions or terminations. This is because employees' performance in an organization can be retrieved whenever it is required.
Therefore, for a company with such number of staffs, it is necessary to consider the following factors when it is negotiating with HRIS software supplier. At first, the company has to consider the security of the data to be stored there. The company has to look at the Strength, Weaknesses, Opportunities and the Threats (SWOT) posed by the introduction of such software. Chanda (2007) laments that although the software is meant to ease the way of doing things, some tend to be a liability to the company because they do not have adequate security features. As a result, the company has to weigh options and evaluate whether using Human Resource Information Systems (HRIS) will be of benefit to its operations.
However, as Bagd (2012) has noted Human Resource Information Systems in an organization can support long term planning with information for labour force planning and supply and demand forecast, staffing with information on equal employment, separations and applicant qualifications. Furthermore, the system can also play a critical role in the development of information on training programs and salary forecasts. The software has been used in the preparations of budgets and labour employee relations with information on contract negotiations and employee assistance needs. This means that if this company is to adopt the use of this software, it must make sure that all the features mentioned above are installed.
Nevertheless, it is also critical to make sure that the software is able to give an output that is expected of it. This means that once the employees' data is fed in the system the software is able to analyze it and give feedback. This is important because it will help the organization in its objective of having a performing workforce.
