1. Project Management phases
For a successful management system in Hypermarket Company, these five logical steps are important to consider (Wells, H. (2012):
* Project initiation
In this phase, the Hypermarket Company needs to measure value and feasibility by considering the Feasibility Study and Business Case Document.
* Project planning
This will give Hypermarket Company a straightforward direction to start handling risks, producing quality outputs, managing suppliers, and communicating benefits to stakeholders. It will also help the Hypermarket Company understand the timeframe, cost, and scope of the project.
* Project execution
This phase entirely relies on the project plan. Here, the plan is initiated by ensuring that all members are focusing on their assigned tasks. The Hypermarket Company team leaders work to satisfy their customers.
* Project monitoring and control
To ensure that the Hypermarket Company has delivered its services effectively, as members execute the plan, they have to monitor their progress continually. This is to ensure they calculate key performance indicators and run the project smoothly.
* Project closure
The Hypermarket Company will close the project once its services reach the customers. Being the final step in the project life cycle allows the company to document the project and move on to the next to create other, more successful projects.
i.) Roles of a project manager in Hypermarket Company
* Managing the production of the required deliverables.
* Planning and monitoring the project.
* Adopting any delegation and use of project assurance roles within agreed reporting structures.
* Preparing and maintaining the project, stage, and exception plans as required.
2. Improving Hypermarket Company information systems
To ensure there is maximum information in the company, there are several ways on how best you can improve communication skills (Wang, J. (Ed.). (2013).).
* First, the company needs to develop a Technology Usage Agreement whereby the project manager should prohibit visiting torrent websites, file-sharing, or gambling sites.
* The second way to improve information systems is to create a comprehensive and systematic technology plan. This will aid in the replacement of worn-out workstations and embrace new technologies.
* Thirdly, ensure that you have contacted your Internet Service Provider to increase your bandwidth from frequently. This step will reduce the chances of hang-ups of any applications caused by slow updates.
3. Discovering missing information processes required by any system
Most techniques need to be stated clearly, starting from the simplest to the most complex. The Hypermarket Company can use these great ideas to help in discovering missing information processes.
* First, the project manager needs to structure through all the requirements and sort them categorically.
* You can also clarify the risks and assumptions in that particular process. The most crucial information is separated from those that are less important.
* When you store information in different formats, it becomes effortless to search for any missing process from that information. This is because you will have to check for elements mentioned in one system but not in another.
4. Selecting effective tools to manage IT projects in Hypermarket Company
* First, the Company must ensure that there are work plans to ensure that the project will be performed in an organized way (Burke, R. (2013).). For this, it is advisable to upload the Online Kanban board. The board helps team members show where their task belongs clearly: either the planned, working on, or done column.
* The Company must also ensure that there is teamwork. This will help enhance collaboration with all members because they share centralized data, which is accessible on any device in the Company.
* Moreover, the Company must ensure that every task or project is planned and the project's goals have been met. This can only be solved using an Online Gantt chart, which depicts the time a single project might take and the urgency of the tasks.
* Besides, to ensure that the Hypermarket Company’s documents are secure, the Document Control is required. Using this tool, the Company’s members can upload files for others to view, comment, and revise while within the Company’s software.
5. Applying conflict resolution and communication skills while on an IT project
